Privacy Policy
What we ask you for, why we ask for it, and what happens to it afterwards. The short version: we collect only what we need to answer you, to send your receipt and to keep the records the law requires — and we do not sell, rent or trade any of it.
Who this policy covers
This website, shivgangajhabua.org, is run by Shivganga Samagra Gramvikas Parishad, a voluntary society registered under the Madhya Pradesh Society Registration Adhiniyam, 1973, registration number 03/27/03/10295/07, PAN AADAS4039H. We work across the tribal villages of Jhabua district, Madhya Pradesh, with offices in Indore and at the Dharampuri Gurukul.
In this policy, “we” and “us” mean Shivganga; “you” means anyone who visits this site, writes to us through it, donates through it, or applies through it to intern, volunteer or visit.
Monthly recurring donations are set up here on this site, at https://new-version.shivgangajhabua.org/recurring-donation. Some older pages still live at old-version.shivgangajhabua.org, and the recurring-donation address psr.shivgangajhabua.org now forwards here. We handle information on those the same way we describe here.
What we collect
We collect two kinds of information: what you type into a form yourself, and a small amount that your browser reports on every visit to any website.
What you give us

Why we ask for your PAN. The Income Tax Department requires a donor’s PAN on the statement of donations we file, which is what allows your gift to be claimed under Section 80G. We use it for that and for nothing else. Our 80G exemption is recorded under F.No. CIT-I/Ind/Tech/80G/08/09-10 dated 24/12/2009, Sl. No. 51/2009-10, with provisional approval number AADAS4039HF20206.
What we never see. Your card number, CVV, UPI PIN, net-banking password or one-time password are never sent to us and are never stored on our servers. Payments are taken on a page provided by our payment gateway, Razorpay, and only the reference numbers above come back to us.
What is collected automatically
Like almost every website, ours records the ordinary details of a visit: your IP address, the browser and device you are using, which pages you looked at and in what order, how long you stayed, and the page or search that sent you here. This is collected through Google Analytics and is used in aggregate — we look at which pages people read, not at what any one person did.
What we use it for
We use what we collect only for these purposes:
- To answer your question, arrange your visit, or process your application.
- To take your donation, send you a receipt, and issue your 80G certificate.
- To keep the accounts, donation registers and returns that Indian law requires a registered society to keep, and to give them to our auditors and to the authorities when they are asked for.
- To send you news of the work — the Halma, a campaign, a report from the villages — if you have donated or asked to hear from us. Every such email carries a way to stop them.
- To understand which parts of the site are useful, and to keep the site secure and working.
We do not use your information to make automated decisions about you, and we do not build profiles of individual visitors.
We aim to handle personal information in keeping with the Information Technology Act, 2000 and the rules made under it, and with the Digital Personal Data Protection Act, 2023.
Who else sees it
We do not sell, rent, trade or lend your information to anybody, for any purpose. No mailing list of ours has ever been for sale and none ever will be.
It is shared only in these situations:
- Our payment gateway. Donations are processed by Razorpay Software Private Limited, which receives your name, email address, phone number and the amount so that it can take the payment and, where needed, make a refund. Razorpay handles that information under its own privacy policy.
- Email delivery. Receipts, replies and updates are sent through an ordinary email service, which necessarily handles your email address and the contents of the message.
- Google Analytics. Visit information is processed by Google, described in the section on cookies below.
- Our auditors, and the authorities. Donation records are shown to our statutory auditors, and are filed with the Income Tax Department and other authorities where the law requires it — the 80G statement of donations is the usual example.
- Where a law or a court requires it, or where it is genuinely necessary to protect someone’s safety.
Volunteers and staff here see only what they need in order to do their part of the work.
How long we keep it
- Donation records — the donor details, the amount and the receipt — are kept for as long as the Income Tax Act and the society’s own audit obligations require, which in practice means at least eight years from the end of the financial year of the donation. We cannot delete these earlier, even on request.
- Enquiries and applications are kept while they are still useful — an internship enquiry, for instance, through the season it relates to — and are deleted after that unless you have become a donor, a volunteer or a partner.
- Analytics information is retained by Google under the retention period set on the property, and is not held separately by us.
How we look after it
The site is served over HTTPS, so what you type into a form is encrypted on its way to us. Payment credentials never reach our servers at all. Access to the donor and enquiry records is limited to the few people here whose work requires it, and to our auditors.
We should be plain about the limit of that promise: no website and no database anywhere is perfectly secure, and we cannot guarantee that a determined attack will never succeed. If something does go wrong that affects your information, we will tell you and the appropriate authority as quickly as we can.
Your choices
You can, at any time, ask us to:
- Tell you what we hold about you, and where it came from.
- Correct it — a misspelt name on a receipt, a changed address or phone number.
- Delete it, except for the donation and accounting records described above, which we are obliged to keep.
- Stop emailing you. Use the unsubscribe line in any email we send, or simply write and say so.
- Withdraw a consent you gave us earlier. That does not undo anything done while the consent stood.
Write to contact@shivgangajhabua.org with enough detail for us to find your record. We will answer within thirty days, and sooner where we can. There is no charge for any of this.
Photographs of people
Much of this site is photographs — of the villages, of a Halma, of the people who do this work and of the students who come and stay. We publish them to show the work honestly, not to advertise anyone.
If you are in a photograph on this site and would rather not be, write to us and tell us which page it is on. We will take it down. You do not have to give us a reason.
Children
This site is not aimed at children, and we do not knowingly collect personal information through it from anyone under eighteen. Donations and applications are expected to come from adults. If you believe a child has sent us their details through this site, write to us and we will delete them.
Other websites we link to
This site links out to places we do not run — our pages on Facebook, Instagram, X, LinkedIn and YouTube, our payment gateway, press coverage of the work, and partner organisations. Once you follow one of those links you are on somebody else’s site, under somebody else’s privacy policy, and this one no longer applies. It is worth reading theirs.
Changes to this policy
If what we do with your information changes, this page changes with it, and the “last updated” date at the top changes too. Significant changes will be announced on the site. Continuing to use the site after a change means you accept the policy as it then stands.

For anything about this policy, about the information we hold on you, or to ask us to correct or remove something, write to us. Please include enough detail for us to find your record — the email address or phone number you used, and roughly when.
